Ring Order Food builds and operates online ordering websites for restaurants and takeaways. This policy explains what personal data we handle, why, and what you can ask us to do about it. It covers this website and the ordering sites we run on behalf of our clients.
1. Who we are
Ring Order Food designs, builds and supports ordering websites, point-of-sale software and related hardware for independent food businesses. You can reach us at any time at ringorderai@gmail.com.
For our own website and business correspondence we act as the data controller. For an ordering website we run on behalf of a restaurant, the restaurant is the controller of its customers’ data and we act as its processor, handling that data only on its instructions.
2. Data we collect
From visitors to this website: nothing beyond what your browser sends to load the pages. We do not use advertising cookies, cross-site trackers or third-party analytics profiles on this site.
From people who contact us: the email address, name, business details and anything else you choose to put in your message.
From customers of the restaurants we build for: the details needed to fulfil an order — name, contact details, delivery address, order contents, delivery notes and payment status. Card details are entered directly with a regulated payment provider and are never stored on our systems.
3. How we use it
To reply to your enquiry and to provide, support and improve the services a client has asked us for.
To send transactional messages that a person has triggered themselves: order confirmations, order status updates, reservation confirmations, password resets and receipts.
To meet legal, accounting and security obligations, and to detect and prevent fraud or abuse of the systems we run.
We do not sell personal data, we do not share it with advertising networks, and we do not use one client’s customer list to promote another business.
4. Email practices
The email we send is transactional. It is triggered by an action the recipient has taken — placing an order, making a booking, requesting a password reset — or it is a direct reply to a message sent to us.
We do not send unsolicited bulk email, and we do not buy, rent or scrape mailing lists.
Every message identifies the business it is sent on behalf of and includes a way to reach a human. Where a message is not strictly transactional, it carries an unsubscribe link that is honoured immediately.
We monitor bounces and complaints, suppress addresses that hard-bounce or complain, and act on abuse reports sent to ringorderai@gmail.com.
5. Sharing and processors
We use a small number of established suppliers to run the service: cloud hosting and databases, an email delivery provider, a payment provider and, where the client has chosen it, mapping and address lookup services. Each receives only the data it needs to perform its function.
We may disclose data where the law requires it, or to establish or defend legal claims.
6. Retention
Enquiry emails are kept while the conversation is useful and for a reasonable period afterwards for our records.
Order and customer data on a client’s ordering site is retained for as long as that client uses the service. If the relationship ends, the client can export its data; after an agreed period we delete or irreversibly anonymise our copies.
7. Your rights
Depending on where you live, you may have the right to access a copy of your data, correct it, delete it, restrict or object to its processing, or receive it in a portable form.
If your data sits on a restaurant’s ordering site, contact that restaurant first — it decides. We will always help it respond. If you would rather come to us, or if you are unhappy with how we have handled a request, email ringorderai@gmail.com.
8. Security
Data is transmitted over encrypted connections and stored with reputable cloud providers. Access is restricted to the people who need it, each client’s data is separated from every other client’s, and administrative access is individually credentialled.
No system is perfect. If a breach affects your data we will act quickly and notify those who need to know.
9. Children
Our services are for businesses and their adult customers. We do not knowingly collect data from children.
10. Changes and contact
If this policy changes materially we will update the date above and, where appropriate, tell affected clients directly.
